Context and Application
The Montreal Assault Prevention Centre (MAPC) places great importance on the protection of personal data. The goal of this policy is to inform all individuals who may benefit from MAPC services about the storage, management, and protection of their personal information which the Centre has gathered.
Personal information is any information concerning an identifiable individual.
The MAPC remains responsible for all personal information it collects, but it is not responsible for personal information collected by third-party software and applications. Each software program or application is responsible for ensuring the protection of the personal information it collects.
Personal information that may be collected
The Centre only collects the personal information it needs to carry out its activities. This may include, for example:
- First and last name
- Telephone number
- Email address
- Age
- Mailing address
Ways of collecting personal information
The MAPC collects personal information in several ways. Here is a non-exhaustive list of ways we may collect your information:
- From our membership forms to become a member of the organization
- From emails, phone calls, or messages through our website for inquiries
- From our paper forms
- From certain cookies on our website, to optimize website functionalities
- From any personal information that you voluntarily provide to us
The objectives of the use of personal information by the Montreal Assault Prevention Centre
The MAPC collects personal information for several purposes, always with the aim of fulfilling its mission statement. Specifically, the objectives of collecting and using personal information are:
- To manage our services and activities.
- To facilitate registration for workshops and activities.
- For statistical purposes, such as our activity report or any other use, to better understand and improve our services.
- To contact individuals who have contacted us through our website, by phone, or by email.
- To contact certain individuals for fundraising purposes.
- To communicate with members and participants by email, phone, or mail about the Centre, our programs, and upcoming activities (for example, by sending our newsletter). Individuals can unsubscribe from the newsletter at any time.
- To issue receipts for tax purposes.
- To collect payment for our workshops and activities.
- For any other purpose permitted or required by law.
- For any other purpose for which you have given us your consent.
Individuals with access to personal information
- Employees of the Montreal Assault Prevention Centre
- Freelance instructors at the Montreal Assault Prevention Centre, strictly within the scope of their assigned duties
- Volunteers or interns at the Montreal Assault Prevention Centre, strictly within the scope of their assigned duties
- Certain third parties (services providers) with whom the Montreal Assault Prevention Centre shares personal information. These service providers may include the accounting firm, the IT support firm, and the logistical support for our database. These service providers are only permitted to use your personal information for the purposes described in this policy and strictly within the scope of the mandate entrusted to them by the Montreal Assault Prevention Centre.
Collection of personal information for children under 14 years old
- For our Action for Teenagers workshops, to manage registrations, we collect the child’s first and last name and age. This information is provided with the consent of the child’s parents or guardians.
- We do not collect any personal information about children as part of our Child Assault Prevention (CAP) workshops in schools and daycares. Only certain anonymized information may be shared within the organization for training, monitoring, and statistical purposes.
Security measures taken to protect personal information
Physical Measures
- Personal information stored on paper is kept in a locked filing cabinet located in the MAPC offices.
- All volunteers and interns with access to personal information must sign a confidentiality agreement.
Technological Measures
- Personal information stored in electronic media is kept on recognized and secure applications. Access to these applications is via individual passwords.
- Some information is collected by external organizations with which we work, such as the donation collection provider. In cases where the information was not collected directly by the Centre, these external organizations are responsible for taking the measures required by law to protect personal information they collect.
- Information requested by email is accessible only with a professional email address and an individual password.
The MAPC implements reasonable security measures to protect your personal information. However, it is not possible to guarantee a flawless security system and there is always an element of risk when personal information is transmitted over the internet.
Rights of individuals about whom the organization collects and stores personal information
You have rights related to the collection and storage of your personal information. These rights are:
- The right of access: to access the personal information we have about you
- The right to rectification: to have your personal information corrected or updated
- The right to erasure: to have your personal data deleted where possible
- The right to data portability: to obtain a copy of your personal information in a structured format
- The right to withdraw consent: to withdraw your consent for the processing of your personal information at any time.
If an incident occurs
If you believe that your personal information has been compromised, you can contact the person responsible for the protection of personal information at direction@cpamapc.org.
If a breach of confidentiality occurs, the MAPC is committed to notifying all affected individuals as soon as possible. Reasonable measures may be taken to mitigate the risk of harm and to correct the situation to prevent similar incidents from recurring.
